Now hiring for an Indianapolis Executive Assistant.

Responsibilities:

  • Calendar & Travel Management: Strategically manage the CEO’s complex calendar, coordinate travel logistics, and handle expense reconciliation with accuracy.
  • Meeting Coordination: Prepare materials for meetings, draft agendas, and record minutes to ensure seamless communication and follow-through.
  • Board Support: Liaise with the Board of Trustees and Governors, manage meeting schedules, and oversee the OnBoard platform for board materials.
  • Communication & Correspondence: Draft and edit confidential communications, acting as the CEO’s voice for internal and external stakeholders.
  • Operational Oversight: Collaborate with the Chief of Staff to ensure strategic alignment, monitor key initiatives, and prioritize critical tasks.

Qualifications:

  • Experience: Minimum of 8 years supporting C-suite executives, with expertise in calendar management, travel coordination, and expense oversight.
  • Skillset: Mastery of Microsoft Office Suite; familiarity with OnBoard and CRM systems is a plus.
  • Local Knowledge: Strong familiarity with Indianapolis is required.
  • Board Support: Proven experience coordinating Board meetings, preparing materials, and managing governance processes.
  • Professionalism: Exceptional discretion, organizational skills, and a results-driven approach to problem-solving.
