Responsibilities:

  • Manage executive calendars, including scheduling meetings and coordinating logistics.
  • Order and coordinate lunches multiple times per week.
  • Email and distribute documents to internal and external stakeholders.
  • Order and manage office supplies as needed.
  • Provide professional and confidential administrative support across assigned departments.
  • Arrange meetings, process invoices and expenses, book travel, and maintain files and records.
  • Prepare committee agendas and meeting minutes using Boardvantage, with training provided.
  • Coordinate on-site and off-site meetings, including agendas, registrations, and catering.
  • Serve as backup support to other members of the executive administrative team.
  • Assist with special projects and other administrative duties as assigned.

Qualifications:

  • At least five years of experience as an Administrative Assistant or Executive Assistant supporting C-suite executives.
  • Proficiency in Microsoft Office; Excel experience is helpful.
  • High school diploma or some college coursework; degree not required.
  • Strong attention to detail and a commitment to confidentiality.
  • Dependability, clear communication, and the ability to adapt to changing priorities.
  • A personable, outgoing approach and comfort interacting daily with leadership and visitors.

This is a contract position expected to last 3 months.

Administrative/ Accounting Assistant

Responsibilities:

  • Provide general administrative support, including processing overnight shipping, ordering supplies, coordinating service repairs, and maintaining mailing lists.
  • Receive, scan, and distribute daily faxes, prescriptions, surgery sheets, and other documents into charts and EMR.
  • Support accounts payable and receivable by receiving invoices, issuing checks, processing credit card payments, matching receipts, handling petty cash, and filing.

Qualifications:

  • Working knowledge of Excel and proficiency in Word.
  • Strong organizational skills, good math skills, and high attention to detail.

This is an in-office position, Monday- Friday 7:30a-4p or 8a-4:30p.
