Now hiring for an Indianapolis Contract Executive Administrative Assistant.
Responsibilities:
- Manage executive calendars, including scheduling meetings and coordinating logistics.
- Order and coordinate lunches multiple times per week.
- Email and distribute documents to internal and external stakeholders.
- Order and manage office supplies as needed.
- Provide professional and confidential administrative support across assigned departments.
- Arrange meetings, process invoices and expenses, book travel, and maintain files and records.
- Prepare committee agendas and meeting minutes using Boardvantage, with training provided.
- Coordinate on-site and off-site meetings, including agendas, registrations, and catering.
- Serve as backup support to other members of the executive administrative team.
- Assist with special projects and other administrative duties as assigned.
Qualifications:
- At least five years of experience as an Administrative Assistant or Executive Assistant supporting C-suite executives.
- Proficiency in Microsoft Office; Excel experience is helpful.
- High school diploma or some college coursework; degree not required.
- Strong attention to detail and a commitment to confidentiality.
- Dependability, clear communication, and the ability to adapt to changing priorities.
- A personable, outgoing approach and comfort interacting daily with leadership and visitors.
This is a contract position expected to last 3 months.
This position is in office, Monday-Friday, 8a-5p.
